How to decommission, deactivate or quarantine assets

Decommissioning Assets

The advantage of decommissioning over deleting an asset is that it can continue to appear in historical reports. Quarantining an asset will mean that is still active and visible but does not require testing. This allows for an asset to be on-hold perhaps for repair or warranty replacement until it can be back in service.

To decommission an asset:
  1. Go into the 'Organiser' view
  2. Select the 'Level' where the assets are you want to decommission
  3. Select the 'Asset/s'
  4. Select 'Decommission'
The 'Delete' option will not be made available to users who have read/write access only



When you select 'decommission' the following pop-up will appear allowing you to provide details about:
  1. The assets your decommissioning
  2. The date
  3. The reason for decommissioning the asset
  4. Any other relevant notes

Reasons and actions for decommissioning assets

When you decommission an asset you will need to select a 'Reason' and the reason may initiate other actions as outlined below:

Replaced: instead of decommissioning the asset, it will simply re-map the asset. This can only be made available if 1 asset is chosen.
Merge: If the asset already exists, the dataset will be merged with the history retained. If the asset doesn’t exist, then a new ID is required and the asset will be renamed with the history retained. 

How to view, restore or delete decommissioned assets

  1. Click on 'settings'
  2. Select 'Decommissioned Assets'
  3. You can also select the asset and 'Restore' or 'Delete' it if needed
Only Administrators have access to this view



Once an asset has been decommissioned it will not appear in reports, organiser view, search or reminders. With the exception of when the report is meant to show decommissioned assets.

Quarantining an asset

To quarantine an asset:
  1. Go into the 'Organiser' view
  2. select the 'asset'
  3. select 'add quarantine'


You will be then required to add a date, reason, review date and Notes about the Quarantine.


Quarantine management
A Quarantine record can be added/edited in the same way that Tests and Repairs can.
  1. A quarantine record becomes read-only once it is closed
  2. A quarantine record has a start date, review date, return date (optional), reason and notes

Quarantine Report

With the selected node of the organiser, in the same way a repairs report can be run, two quarantine reports can be run:
  1. Quarantine (Active) – This report will return any assets (with quarantine details) that are currently active (e.g. no end date)
  2. Quarantine (History) – This report will show any assets with quarantine records reflecting the selected date range of the organiser
